Privacy policy

1. Controller
Controller within the meaning of Art. 4(7) GDPR: Slavnikova Ksenia Nikolayevna (ИП / sole proprietor) (RE-LOCATE: GERMANY), Danziger Str. 73, 10405 Berlin, Germany, email: hi@re-locate.de.
2. Visiting the website
When you open the site, our hosting provider automatically logs technical data: IP address, date and time, requested page, browser and operating system, and referring site. We use this data only to run and secure the site, never for profiling. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in a stable and secure website). Logs are kept for no longer than 30 days unless needed to investigate a security incident.
Hosting: GoDaddy (GoDaddy.com, LLC / GoDaddy Operating Company, LLC, USA), under a data processing agreement (Art. 28 GDPR). Transfers to the USA rely on the EU-U.S. Data Privacy Framework (where the provider is certified) or EU Standard Contractual Clauses (Art. 46 GDPR).
Before you consent, this site does not run analytics, advertising pixels or other tracking. There is no profiling. Fonts are served from our own server: the site does not call Google Fonts or any other external font service.
We run Google Analytics 4 only after your consent, which we request in a banner on your first visit. Without consent the analytics script is not loaded and no cookies are set. Details are in section 7 and in our cookie policy.
3. Booking a consultation (Calendly)
We use Calendly (Calendly LLC, 115 E Main St, Ste A1B, Buford, GA 30518, USA) for online booking. The calendar loads only after you click "Show available times". From then on, data including your IP address is sent to Calendly. Calendly LLC is certified under the EU-U.S. Data Privacy Framework; transfers are additionally covered by EU Standard Contractual Clauses.
When booking you provide your name, email and, optionally, further details. We use them to schedule the meeting and send you an invitation. Legal bases: Art. 6(1)(a) GDPR (consent to loading the calendar) and Art. 6(1)(b) GDPR (entering into and performing a contract). Calendly's privacy policy: calendly.com/privacy.
4. Services, invoices and correspondence
For consultations and support packages we process the data you give us: contact details, information about your education, work and family, copies of documents (passport, diploma, contracts), and billing and payment data. Legal basis: Art. 6(1)(b) GDPR. For records we must keep by law (such as invoices), Art. 6(1)(c) GDPR.
Free guides. To receive a free PDF you fill in a form: name, email address and, optionally, a phone number. We use these details to release the file, send you a copy by email and answer questions about the guide. Legal basis: Art. 6(1)(b) GDPR (carrying out your request). Submissions arrive in our work mailbox and are stored on our hosting server; they are not passed to any third-party mailing service. If you also ticked the box for emails about changes to entry and residence rules, the legal basis for those is Art. 6(1)(a) GDPR, and you can withdraw that consent at any time by writing to hi@re-locate.de or via the link in the email. Your details are deleted on request and, without consent to the mailing list, after twelve months at the latest.
Webinar registration. To register for a free webinar you provide your name, email address, country of residence, the relocation route you are considering and, optionally, a question for the speaker. We use these details to confirm your registration, send you the stream link, a reminder and the promised materials, and to prepare answers to participants' questions. Legal basis: Art. 6(1)(b) GDPR (carrying out your request to take part).
Data from the registration form is passed to the email service Brevo (Brevo SAS, 106 boulevard Haussmann, 75008 Paris, France), which stores the participant list and which we use to send webinar emails. A copy of each registration is sent to our work mailbox. A data processing agreement under Art. 28 GDPR is in place with Brevo. Where Brevo transfers data outside the EU, it relies on the EU Standard Contractual Clauses (Art. 46 GDPR). Brevo's privacy policy: brevo.com/legal/privacypolicy.
The webinar takes place on the video conferencing service Zoom (Zoom Communications, Inc., 55 Almaden Blvd, Suite 600, San Jose, CA 95113, USA); we send you the link by email. When you join, Zoom processes technical data (IP address, device data), the name you enter and chat messages. You do not have to switch on your camera or microphone. We do not record the session. Legal basis: Art. 6(1)(b) GDPR (taking part in the webinar). A data processing agreement under Art. 28 GDPR is in place with Zoom; Zoom Communications, Inc. is certified under the EU-U.S. Data Privacy Framework, and transfers to the USA are additionally covered by the EU Standard Contractual Clauses. If you separately ticked the box to receive useful RE-LOCATE emails after the webinar, we first send you an email asking you to confirm the subscription (double opt-in). Legal basis for these emails: Art. 6(1)(a) GDPR. You can unsubscribe at any time via the link in every email or by writing to hi@re-locate.de.
Registration data is deleted no later than 3 months after the webinar; if you subscribed to our emails, it is kept until you unsubscribe.
Contact form. When you send a message through the form on this site, we receive your name, email address and message by email and use them only to answer your request. Nothing is stored on the web server. Legal basis: Art. 6(1)(b) GDPR where the request relates to our services, otherwise Art. 6(1)(f) GDPR. Correspondence is deleted once your request has been handled, unless we are required to keep it longer.
If you contact us by email or messenger, we process your message and contact details to reply (Art. 6(1)(b) or (f) GDPR). Messengers such as Telegram or WhatsApp also apply their own privacy policies.
Client data is kept for the duration of our support and then deleted, unless the law requires longer retention (e.g. up to 10 years for accounting records).
5. Recipients
We share data only where needed to deliver our services: our hosting provider, Calendly (booking), Google (Meet, email), Brevo (emails to webinar participants), Zoom (hosting webinars), payment or banking providers and, on your instruction, authorities, employers, translators and insurers. We never sell data or share it for advertising.
6. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20), objection to processing based on legitimate interest (Art. 21), and to withdraw consent at any time with effect for the future (Art. 7(3)). You may also lodge a complaint with a supervisory authority, e.g. Berliner Beauftragte für Datenschutz und Informationsfreiheit, Alt-Moabit 59–61, 10555 Berlin.
7. Cookies
We use Google Analytics 4 (Google Ireland Limited, Dublin) only after your consent, which we request in a banner on your first visit. The service sets cookies and collects anonymised visit statistics; the IP address is truncated. The legal basis is Art. 6(1)(a) GDPR and § 25(1) TDDDG. You can withdraw your consent at any time via the “Cookie settings” link in the footer.
